Pensacola law office is looking for a friendly and welcoming Receptionist to join our team. You will greet clients and visitors when they arrive or call the office and determine the reason for the call or visit. Other job duties include answering phones and emails, entering information into our database, organizing files, and making copies. You will also monitor the inventory of office supplies. We prefer candidates who have some experience in an administrative role, but we are willing to train the right person.
Receptionist Job Responsibilities:
· Answer the phone in a timely manner and direct calls to the correct personnel
· Greeting, welcoming, and directing Client's and visitors appropriately.
· Keeps a safe and clean reception area
· Update calendars and scheduled appointments
· Perform clerical duties, take memos, maintain files, and organize documents both digital and hard copy for all personnel
· Contributes to team effort by accomplishing related tasks as needed.
Receptionist Qualifications / Skills:
· Exceptional customer service skills and professional phone manner
· Detail oriented with excellent organization skills
· Multitasking and time-management skills, with the ability to prioritize tasks, works well in a fast-paced environment
· Proficient working knowledge of applicable office equipment (printers, scanners, copiers)
· Works well under Pressure
· Demonstrates initiative and reliability
· Supply Management
Education, Experience, and Licensing Requirements:
· High school diploma; College degree a plus but not required
· Previous experience in secretarial, administration or law office setting a plus
· Familiarity with phone systems
· Previous experience with Microsoft Office software preferred
· Professional attitude and appearance
