Tea Event Administrative Assistant and Coordinator
Position Overview
Handle the tea shop administrative duties relative to events and daily tea shop office needs to carry out the mission of the tea shop.
Event Administrative Assistant and Coordinator Qualifications
Is a self-starter, who is creative and has the capability of taking the initiative to achieve assigned tasks
Is a team player and proficient in coordinating the many aspects of event management
Has excellent organization skills, great attention to detail, a proactive nature, and the ability to handle many tasks at the same.
Possess exceptional communication skills – both written and verbal – along with exceptional knowledge of planning and executing events.
Possess knowledge of computer skills in order to produce flyers, newsletters, correspondence and social media platforms.
Event Administrative Assistant and Coordinator Duties and Responsibilities
Handle clients’ inquiries over the telephone and in-person and forward important calls to the manager/owner.
Compose and revise company documents related to events and tea parties.
Assist manager/owner with the execution of events providing required administrative support.
Update and manage calendars and provide reminders for upcoming events.
Provide extensive support in event execution by ensuring that all resources are available to the participants.
Assist in the setting up and tearing down of events, with a special focus on timeliness and care of the materials involved.
Interact with staff members to ensure that they are provided with the right information to carry out their tasks.
Prepare responses to written inquiries, providing both information on events and their execution processes.
Produce mailings such as thank you letters, along with project documentation.
Create and maintain accurate and up-to-date records and files for all event and ensure that all paperwork, event summaries and deposits are properly secured.
Develop event-specific organizational tools such as timelines, contact lists, and work deliverable.
Be sufficient and maintain social media platforms
Maintain billing and bookkeeping information into accounting software.
Maintain entry of inventory into POS.
You will be the face of our tea shop and an important member of a small team. The job requires careful attention to detail at all times, and each team member plays an important role in creating a welcoming, comfortable and relaxed atmosphere. Our guests should feel the same warm welcome they would feel as a guest in our own home. Attention to every detail is of utmost importance.
