We are seeking an organized and detail-oriented Payment Office professional to join our team. This role is vital in managing financial transactions, maintaining accurate records, and providing exceptional customer service. The ideal candidate will have strong office experience, proficiency with various software tools, and excellent organizational skills to ensure smooth daily operations within the payment department. Duties


Manage and process payments using QuickBooks and other accounting software


Perform data entry with high accuracy to update financial records and client accounts


Handle front desk responsibilities including greeting visitors and managing multi-line phone systems


Maintain organized filing systems for financial documents and correspondence


Provide customer service support by addressing inquiries related to payments and billing


Assist with administrative tasks such as proofreading documents, scheduling appointments, and managing calendars


Support bookkeeping activities including reconciling accounts and preparing financial reports


Ensure proper phone etiquette when communicating with clients, vendors, or internal staff


Collaborate with team members to ensure efficient office operations and timely processing of payments


Experience


Prior office experience with a focus on clerical or administrative roles preferred


Experience using QuickBooks or similar accounting software is highly desirable


Familiarity with Microsoft Office Suite, Google Workspace, and general computer skills required


Background in data entry, filing, and managing multi-line phone systems is advantageous


Customer service experience, especially in medical or dental office settings such as dental receptionist or medical office experience, is a plus


Strong organizational skills with attention to detail in proofreading and document management


Typing proficiency and excellent phone etiquette are essential for success in this role


This position requires a proactive individual capable of multitasking efficiently while maintaining professionalism. The successful candidate will be integral to ensuring accurate financial operations and delivering outstanding support to clients and team members alike.
