This position is expected to be personable, possess positive communication skills, understands all human resource compliance issues and has experience managing a law office; overseeing the human resources for 50+ employees, supply management, facilities and be a key member of the firm’s leadership team.Primary responsibilities:Keeping organized files on employees; monitoring calendars; meeting deadlines; documenting actions; training staff on file database and case management software; confirming case status with support staff and communicating regularly with the CEO.Provide administrative assistance to all legal staff and non-legal staff in the law firm.Coordinate all benefits and human resources needs to all staff and new hires.Plan, support, and implement logistics for internal events.Coordinate meetings, teleconference and video conferences.Manage vendors for all office building maintenance and upkeep (phones, computers, IT, electricians, handymen, cleaning team etc.).Assess the urgency of situations and determine appropriate actions, monitor status of pending items, provide follow up and keep management informed by communicating on all human resources and office management needs.Maintain legal management systems.Ability to perform special projects as requested.Train attorneys and support staff in the use of all office systems, including case management system, filing protocols, and office procedures.Ensure that all necessary supplies are ordered and internal hardware is operating properly for staff.Oversee and coordinate acquisition and maintenance of legal research and reference materials for office, including hard copy and electronic materials.Work in partnership with bookkeeper to coordinate time sheets and payroll twice a month.Education/Training:Undergraduate degree preferred.Required Skills:Working as a family law office manager at Holstrom Block & Parke requires strong organization and communication skills. Attention to detail is extremely important. This position may be required to perform occasional heavy lifting of file boxes and documents. Reporting, research, legal administration, litigation knowledge, organization, planning, attention to detail, confidentiality, and dependability are all a must.Required Experience:4+ years’ experience in law office management required.
